How We Build
The Kayben Build Process
A clear, predictable process is what separates a great landscape build from a stressful one. We walk every client through each stage — no surprises, no gaps.
From the first inquiry to the final walkthrough, our goal is for clients to not only be thrilled with the finished product, but to genuinely enjoy the experience of working with us along the way.
You’ll have one point of contact and a clear picture of where your project stands throughout the process.
Inquiry
Reach out online or by phone, share your project goals, and we’ll gather the details needed to get started.
Initial phone meeting: The main purpose of this call is to gather some additional information and to find out more about your project. We’ll need your Real Property Report prior to the consultation and will request some additional information you can gather in advance. This meeting is usually brief – less than 15 minutes.
Consultation
A designer visits your property to understand your vision, budget, priorities, site conditions, and overall project scope.
Design Consultation meeting: A designer will meet with you at your property or virtually to gather information about your vision for the yard, your needs, your approximate budget, and anything else they need to get a sense of the project scope. This meeting usually takes about 30 minutes to 1 hour. Based on the information gathered during this meeting, the designer will provide you with a design fee estimate at this consult.
Proposal Delivered
We send your first design plan and quote for review, with room for feedback before anything is finalized.
Design plan and budget pricing: You get an email with a first draft design plan and budget pricing for your approval and/or input. There’s often some back and forth before you make a final decision on the design. Landscape design fees range from $200 for a basic project and can be $3,500 or more for large and complex designs. Designs that involve more than one visit, taking on-site measurements and survey shots, addressing unique challenges, developing detailed plant layouts, and more can take longer. During peak times, this can take 2–3 weeks to complete.
Estimation: Our estimator creates an estimate for you based on the final design. During peak times this can take 1–2 weeks.
Proposal Review
We walk through the quote together, answer questions, clarify inclusions, and adjust details until the scope feels right.
Quotation review process: This may be conducted via email, a phone call, or an in-person meeting. The purpose of this meeting is to have your questions answered and ensure there is clarity regarding what is and is not included in the quote. If there are adjustments to be made, we will discuss alternatives and get a revised proposal to you. If we have provided you with a design that you are happy with and that suits your budget, you approve it, and we prepare a contract.
Contract & Deposit
Once approved, the contract is signed, your deposit is paid, and your project is added to the schedule.
Contract: Now we send you a contract for signing. This typically happens electronically, unless you ask to meet in person. You return it to us; we sign it and return a finalized copy to you. If you’re like most people, now you’re eager to be placed on the schedule so you can enjoy your new yard as soon as possible. You send us a 35% deposit, and just like that, you are on the list. Within about 1–2 weeks, you’ll be provided with a tentative start date.
We keep you updated on changes to our schedule that may affect your start date. Changes can happen when jobs are delayed due to weather, scope changes to projects, or material supply delays. During this time, we will work with you on making final material selections such as brick style and colour, plant material, and more.
Change orders: Significant changes to materials, project scope, or layout may affect scheduling, material sourcing, procurement timelines, and overall project costs. For this reason, change orders requested after contract approval require written authorization and may also require an additional deposit. While we will do our best to accommodate revisions prior to construction, approval timing, scheduling impacts, and associated costs will determine whether changes can reasonably be incorporated into the project.
Pre-Construction Meeting
Your foreman, along with our construction manager, meets with you on-site before construction to confirm expectations, access, materials, logistics, and final details.
Preconstruction meeting: 1–2 weeks before the scheduled start of your project, your utilities will be marked and your foreman will have an on-site meeting to introduce themselves to you and prepare for the project. The purpose of this meeting is to clarify expectations and organize production details such as material selection and access. With your permission, we’ll also put up signage indicating that we are the contractor on site.
Work on Project Begins
Our crew gets to work, keeping disruption as low as possible while documenting any approved changes clearly.
Your project starts! Beauty takes time, and sometimes creates a bit of disruption in the process. This is temporary, and look at the bright side: at least it’s not in your kitchen. We’ll try to cause as little stir as possible in your neighbourhood.
Change orders during construction: Change orders requested after construction has begun can be more challenging to accommodate and may not always be possible. Once construction begins, we aim to keep the project aligned with the approved plan to maintain scheduling, efficiency, and overall project flow. Changes during construction may result in additional costs or delays.
Final Walkthrough
We walk the completed project with you, confirm everything is built to spec, and provide care instructions. Your satisfaction is the sign-off.
It’s done! Once the project is complete, we’ll do a final walkthrough together to ensure everything has been completed as promised and meets expectations. We’ll provide maintenance information to help protect your investment and finalize the remaining balance. We’ll also ask you to tell us how we did so we can keep getting better at what we do. Finally, we’ll ask you to post a review on your favorite platform.
Warranty Period
After completion, we stand behind the work and address issues according to your warranty agreement.
Warranty: Our workmanship is backed by a limited warranty. Warranty coverage applies under normal use and proper maintenance conditions, and maintenance tips will be provided to help protect your investment and support warranty coverage.
